By visiting our website, making an enquiry, or booking or purchasing a tour, package or travel service from NZ GO Tours & Travel — whether through our website or directly with us by email, phone or in person — you confirm that you have read, understood and agree to our Booking Terms & Conditions, Cancellation & Refunds Policy, Privacy Policy and Website Terms of Use. NZ GO Tours & Travel acts only as an organiser, not as the provider of any goods or services. The terms and conditions, privacy policies and other documents of the hotels, restaurants, tour operators and other suppliers providing your goods or services also apply.
The key points
- We only collect what we need to plan and book your trip.
- We share your details with the suppliers delivering your trip — never sold to anyone.
- You can ask to see or correct your information at any time, free of charge.
This summary is for convenience — the full terms below apply.
1. Who we are
This policy applies to NZ GO TOURS AND TRAVEL LIMITED, trading as NZ GO Tours & Travel ("we", "us"), part of The Shaara Group. We are responsible for the personal information we collect through nzgotoursandtravel.com, by email and when arranging your trip. You can contact our Privacy Officer at admin@nzgotoursandtravel.com.
2. What we collect
- Enquiry details: your name, email, phone number, where you're travelling from, travel dates, number of travellers, trip style, budget and anything you write in your message.
- Booking details: names, dates of birth and passport details of travellers where a supplier needs them; driver's licence details for vehicle hire; flight and arrival details; emergency contacts.
- Health and sensitive information: medical conditions, disabilities, mobility needs, pregnancy, allergies and dietary requirements that you choose to give us, plus insurance details and emergency contacts. We treat this information with extra care: we only use it to arrange a suitable and safe trip and to help in an emergency, and we only share it with the specific suppliers (and, in an emergency, medical providers) who need it.
- Photos, videos and reviews: images taken on tours or activities, and photos, reviews or comments you share with us or tag us in, which may be used in our marketing as set out in our Booking Terms. You can ask us not to use images of you at any time.
- Payment information: payment amounts, dates and references. Card payments are processed by our payment providers; we don't store full card numbers.
- Communications: emails and messages between you and us.
- Website data: basic technical information such as your browser type, device and pages visited, collected by our website platform to keep the site running securely.
Most information comes directly from you. We may also receive information about you from others, such as the lead traveller on your booking, suppliers (for example a hotel or tour operator telling us about a change or incident), insurers, payment providers or our sister companies in The Shaara Group, where it's needed to arrange or support your trip.
You don't have to give us your personal information, but if you don't, we may not be able to answer your enquiry or arrange your trip.
3. Information about other travellers
If you give us information about other people on your booking (for example, family members or friends), please make sure they know you're sharing it, why, and that they can read this policy. Where we collect personal information about someone from another person, we take reasonable steps to make sure they are aware of it, as required by the Privacy Act 2020.
4. How we use it
- To reply to your enquiry and prepare quotes and itineraries.
- To make, manage and change bookings with suppliers on your behalf.
- To take payments, keep accounts and meet our legal and tax obligations.
- To support you before and during your trip, including in emergencies.
- To improve our website and services.
- To send you travel ideas and offers, but only if you've agreed or are an existing customer — and you can unsubscribe at any time. We'll still send you essential messages about your booking, payments and travel changes.
6. Storage overseas
Some of our service providers (including our website host and email provider) store information on servers outside New Zealand, such as in the United States. Before sharing information overseas, we take reasonable steps to make sure it will be protected in a way comparable to the Privacy Act 2020.
7. Security and how long we keep it
We take reasonable steps to protect your information from loss, misuse and unauthorised access. Access to our booking system is restricted to authorised staff. If a privacy breach is likely to cause serious harm, we'll notify you and the Office of the Privacy Commissioner as the law requires.
We keep enquiry information for as long as it's useful for your trip planning (normally up to 2 years if you don't book). Booking and payment records are kept for 7 years to meet New Zealand tax law. After that, we securely delete or anonymise them.
9. Your rights
You have the right to ask for a copy of the personal information we hold about you, and to ask us to correct it. You can also ask us to delete it. We'll do so unless we need to keep it by law (for example, booking and payment records we must keep for 7 years for tax purposes) or to resolve an open booking or dispute. Email admin@nzgotoursandtravel.com. We'll respond within 20 working days and won't charge you for this. We may need to verify your identity first.
10. Questions and complaints
If you have a privacy concern, please contact us first at admin@nzgotoursandtravel.com and we'll try to resolve it quickly. If you're not satisfied with our response, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
11. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it took effect.
